1. Attend regular meetings of the Board, and be prepared to present information regarding prospective members, application status, and status of Harmony, Inc. membership actions.
2. Provide membership status of prospective members to the Music Team Chair prior to each Music Team meeting.
3. Chair the Membership Committee and identify a committee member to focus on new members.
4. Ensure completion and processing of forms, including applicable fees, for new prospective members.
5. Coordinate the audition process for prospective members with the Music Team.
6. Track member gains and losses and ensure appropriate information is provided to Harmony, Inc., including the submission within seven days from Board vote, unless the Board otherwise directs, of:
   1. Membership forms, including coordination with Treasurer for payment of International and Area 2 dues, and
   2. Loss of member reports (also file with Area Director).
7. Prepare and distribute correspondence welcoming new members to the Chapter, and information regarding departing members or members transitioning to Fifth Voice or Long- Distance Member status.
   1. Ensure HarmonySite roster and e-groups reflect current members and membership status.
   2. Conduct interviews with members changing membership status to improve understanding of such transitions.
   3. Determine whether any members of the Chapter are unable to receive electronic communications and determine an appropriate alternative.
   4. Provide permanent records to her successor and the Secretary, as appropriate, and coordinate to effectively complete the transition to her successor.

Convention Coordinator

1. Be responsible for all convention arrangements with the Convention Team, including: Chapter members’ registration, all-events passes, ticket purchases, photograph orders, Chapter meals (if any), housing information, chorus meeting room, rehearsal space or suite.
2. Complete any forms necessary to secure a vendor sales table in the hospitality room and identify a volunteer to coordinate merchandise and staffing, if applicable.
3. Develop convention “prep kits” for members, to include: all pertinent information about the convention event, directions, costume checklist, schedules, etiquette, etc.
4. Ensure that all required contest forms are filed, coordinating with the Music Team Chair.

Fundraising

1. Develop an annual plan for raising funds to meet or exceed budgeted line item, including fundraising projects plus consideration of other opportunities such as grants, contributions or sponsorship. Develop long-range plans (2-3 years) to help the Chapter reach its long- term financial goals.
2. Be responsible for money-making projects for the Chapter, establishing project committees and event-specific leadership, as necessary, to execute plans. Track feedback on the success of specific fundraising projects.
3. Encourage members to submit ideas, solicit new ideas, and evaluate various projects as to their cost-benefit.
4. Be responsible for ongoing and existing sales items such as the CD and pitchpipe holders, making sure they are available for sale at major performances, as appropriate, and tracking sales.
5. Keep accurate records of all revenues and expenditures from projects. Submit funds, as soon as feasible, plus a final accounting no later than one week prior to the end of the fiscal year, when available, to the Treasurer.

Historian

1. Collect and keep a permanent file of all historical material pertaining to the Chapter, including: contest results, performances, special events, open houses, inter-chapter events, public appearances, etc.
2. Keep a record of positions held each year in the Chapter, Area and International, by each Chapter member.
3. Collect all material, pictures, clippings, etc., for a physical and/or electronic record, to be available for the membership.
4. Working with the Communications Committee, ensure that pictures are taken of special events, whether by Chapter photographer, external photographer, or the press.
5. Collect duplicates of newsworthy articles or photos for use by the Communications Committee.

1. Be responsible for marketing and promoting New England Voices in Harmony with input from the Board, the Music Team, the Chorus Manager-Sales, the Membership Committee, and the Communications Committee.
2. Project a positive public image for the Chapter.

3. Develop and maintain Chapter promotional materials, including: chorus banner or sign, brochures, publicity photos, business cards, chorus history, flyers, advertisements, mass mailings, etc.
4. Publicize Chapter and Harmony, Inc. events using all means available: newspapers, flyers, radio and television announcements, social media, posters, etc., as appropriate.
5. Bring, or ensure others bring, chorus banner, handouts and business cards to all performances, as appropriate.
6. Be acquainted with any and all information regarding Harmony, Inc. and the Chapter.

7. Coordinate public relations efforts with the Communications Committee, Show Committee, Membership Committee, Chorus Manager(s), Fundraising Committee and others, as needed.
8. Maintain copies of all press releases, target letters, and published articles.

9. Maintain a contact file of organizations, media, and newspapers, to include: contact names, titles, phone # or FAX, e-mails, websites, etc.
10. Work with the Area 2 Marketing/Public Relations Coordinator and Harmony, Inc. Marketing and Public Relations Coordinators, as appropriate.

Quartet Promotion

1. Promote, encourage and advise quartets, or assist them in getting advice.

2. Assist quartets in registering with Harmony, Inc. and connecting with the Area 2 Quartet Promotion Coordinator.
3. Encourage quartets to take advantage of Area and International educational opportunities, including education days, craft classes and coaching opportunities.
4. Encourage quartets to perform with the chorus and to compete, when appropriate. Organize periodic quartet meetings, as needed.
5. Plan entertainment programs for Chapter rehearsals, such as: inviting guest quartets to perform or organizing a Quartet Showcase, enabling Chapter quartets to perform.
6. Coordinate with the Board to reserve the location for the Quartet Showcase and ensure rental fee is paid.
7. Encourage and present new quartets and give competing quartets needed performance time before contest.
8. Work with the Communications Committee and Public Relations/Marketing Team to help promote Chapter quartets, as appropriate.

Social Media Coordinator

1. Work with the Communications Committee to ensure social media activity supports appropriate communication and external outreach.
2. Oversee the posting of regular content and photos of Chapter events to approved Chapter social media accounts with a reasonable degree of autonomy and responsibility, coordinating with other administrators. The goal is for posting to occur weekly and be managed to allow for appropriate exposure of posts.
3. Ensure content representing the Chapter is respectful, engaging, appropriate for the broader community and adheres to copyright law where applicable.
4. Possess excellent written communication skills with an emphasis on proofreading and grammar.
5. Add new and responsible administrators as needed to social media accounts with the general approval of the Vice President of Communications; eliminate administrators, as appropriate.
6. Receive fliers, articles, official photos, URLs, and information necessary to promote an event on social media from the event-sponsoring group or Communications Committee.
7. Monitor Harmony, Inc. and Area 2 media in order to identify information for sharing on Chapter social media platforms and to facilitate sharing of Chapter information on their platforms, as appropriate.
8. Assist people who contact the Chapter through social media, by either directing them to someone who can provide further assistance or giving them information and informing the appropriate committee.
9. Consider additional social media platforms, as appropriate and can be consistently supported.

Chorus Manager – Logistics

1. Communicate and review performance details, which have already been qualified by the Chorus Manager-Sales, with Director(s) to secure approval.
2. Work with Director(s) to identify any sound, lighting, staging, or rehearsal space requirements, and other on-site needs which should be in the contract.
3. Act in an administrative capacity on the HarmonySite platform and be able to use HarmonySite effectively (such as to poll the Chapter members on availability).
4. Secure attendance commitments from the Chapter.

5. Relate the Chapter’s overall attendance commitment, including number and balance of each part, to the Director(s) for final approval.
6. Assume the role of primary contact for the client once the signed contract is received. Partner with the client to ensure that contracted requirements for sound, lighting, stage, rehearsal space, and other Director-identified needs are met.
7. Manage other logistical needs of the event in partnership with the client (such as parking directions, etc.).
8. Collaborate with the Director(s), Costume Committee chair, and other personnel as needed to identify arrival times, costuming, riser transport, and so forth.
9. Prepare a performance “Fast Facts” sheet and disseminate to the Chapter so each member has the correct information on costuming, location, parking, etc., for the performance.
10. Serve as, or identify a delegate as, the on-site contact for the client.
11. Following a chorus performance at which photos have been taken make a request for those photos from the client for Chapter promotional and historical purposes.
